Job Description: The Traffic Manager is the central contact for all project work that flows through the agency. Once a job has been opened, the Traffic Manager will develop a timeline. Working with the Creative and Account teams, the Traffic Manager will assign specific people to the steps required to complete the job. The Traffic Manager will monitor resource requirements and alert appropriate staff of outside/freelance staffing needs. They will make sure that all work is completed within scheduled deadlines, and work with Account Managers to adjust job deadlines as needed while still meeting client needs. Traffic Manager Responsibilities As the agency is in the process of changing PM/resourcing software, the Traffic Manager will lead this effort in the form of either fine-tuning and maximizing existing software or researching, deciding, and implementing software that is a better fit. As jobs are opened by Account Managers, the Traffic Manager is notified and creates schedules that ensure that the work will be completed within the client’s deadlines while allowing ample time to get work done that meets client expectations. Reviews daily workloads of creative/strategy/communications/copywriting SMEs with Account Team and adjusts assignments as needed, making sure that appropriate talent is used and workloads are evenly maintained. Makes adjustments to each job schedule and overall workload as job demands change. Identifies when and what kind of contractor/freelance help is needed to maintain healthy workloads for internal teams. Makes sure each staff member knows the assignments that they need to complete and the due dates. Acts as the mediator between all Account Managers to establish and re-evaluate priorities. Maintains and improves project management software and tracks time management, tasks, schedules, resourcing, forecasting, utilization rates, etc. Informs Account Managers when client contact is required to get approvals or gather assets to complete work. Keeps in contact with all departments regarding current deadline status and any issues that may need client or agency attention. Coordinates with the Production Manager/Project Managers on all outsourced requirements and the scheduling and delivery of those resources. Prepares production estimates based on briefings from the Account Team Supervises other Project Managers if/when the department grows At the moment, the Resourcing and Project Management Department is a team of one. You’ll start off as the one Traffic Manager with Project Manager’s duties. Depending on workflow, you will be supervising one or more contracted or hired additional Project Managers. Currently, we have one contractor Project Manager who works both independently and remotely on her client projects. While Traffic Management is the first responsibility in this role, you will be the Project Manager on smaller print and digital projects that don’t have a dedicated Account Manager, and/or be the dedicated Project Manager alongside an Account Manager on accounts with large, complex print/digital projects. Project Management Responsibilities Manage schedules, deadlines, and rounds of concepts, revisions, proofing, and production for internal/external teams for larger or more complex digital/print projects for accounts that have a dedicated Account Manager. Set meetings for internal and client teams. Be a client-facing contact and manage all aspects for small production-oriented projects that don’t have a dedicated Account Manager. Communicate and coordinate efforts with vendors and partners.
